Flat-rate professional expenses are a fixed amount or percentage that the tax authorities deduct from your gross income to lower your taxable base. The big advantage is that you don’t need to keep any supporting documents (such as invoices or receipts), which significantly simplifies your administration.

If you work from home, you can claim a business portion of your rent, electricity, gas, water, and heating, based on the percentage of your home you use for your business. Dexxter lets you set that percentage once and then automatically applies it to all your housing costs, even when the invoice is in your partner’s name. This way you legitimately recover part of your fixed housing costs without having to calculate complex allocation keys yourself.

For purchases within the EU (intra-community) or outside the EU, the “reverse charge” rule usually applies: the foreign supplier does not charge VAT, and you declare it yourself in your VAT return. Dexxter automatically recognises the type of supplier based on the VAT number and books the invoice correctly, without you having to calculate the reverse charge yourself. This keeps you compliant with the Belgian VAT administration, including for purchases on Amazon, Google Ireland, or from other EU suppliers. Only small VAT-exempt businesses still need to file a special return themselves. But we’re planning to tackle that too.

For self-employed people with a mixed-use car, you book the actual deduction percentage on all car expenses (fuel, maintenance, insurance, road tax) for business trips. But you’re also entitled to the flat-rate mileage allowance for commuting to a fixed workplace (40 trips per year). Dexxter lets you set the business-use percentage and CO2 level per car, then automatically applies the correct tax deduction to every car expense. A car that was initially purchased privately can also be entered into Dexxter for its business use.

Purchases of 250 euros or more that last longer than a year (laptop, furniture, machinery, car) are investments and must be depreciated over several years instead of booked as an expense in one go. Dexxter automatically calculates the depreciation schedule based on the chosen investment term and the business use, so the annual depreciation appears correctly in your profit and loss statement and personal income tax return. You don’t need to remember any tables or percentages yourself.

This is by far the most common question at Dexxter. Every purchase falls under a predefined expense category, such as “office supplies,” “entertainment expenses,” “small equipment,” or “car expenses.” Dexxter works with a complete Belgian expense structure in which every category is already linked to the correct deduction percentage and the correct VAT treatment, so you don’t have to figure out yourself where something belongs. Was it an expense that was (wholly or partly) intended to increase your turnover? Then it can be included in your accounting. You can read how this works here. It may seem complicated, but it really isn’t!

If you forget to declare income, that is illegal. If you forget to declare expenses, that is not illegal. However, it does have the disadvantage that your taxable profit (= turnover – expenses) will be higher, and you will therefore have to pay (slightly) more tax. If the expenses are small, and you don’t forget about them too often, it is not a big deal.

In order to include an expense in your accounting, you must always have supporting documentation. Ideally, this should be an invoice that clearly states your company number, but that’s not a legal requirement. Invoices without your company number, cash register receipts, proof of payment, etc. are also acceptable. As long as the document contains sufficient details about what you purchased and how much it cost, it is fine. To be able to recover the VAT, you will need to have a valid invoice with your VAT number on it, though.
