Proof of purchase for online (US) training: paid 21% via vAT declaration?

Hello everyone,

Can anyone help me figure out how to record an expense?

It concerns an online course from the USA. I only received a “receipt”, without my company number or that of the institute organising the course. So no invoice. And of course no vAT.If I process the expense as I think I should, it means that I will still have to pay 21% vAT via my vAT declaration. In other words, the course will cost me more than it initially seemed.

Is it correct to process the expense as follows?

  • Include in vAT declaration: yes (?)

  • Amount: it states ‘you must fill in the vAT rate that a Belgian supplier would charge’ -> It is a training course, so I fill in the paid amount in the total and again in “amount excl. 21% vAT”

  • professional percentage: 100%

  • vAT deduction %: 0% ???? -> because it is a “receipt” and not an invoice??

If I set the vAT deduction % to 0, I pay 21% on this training course via the vAT declaration. Is that how it should be?

Hey An,

Foreign companies often do not have anything like an official invoice (at least not according to our European standards). In Europe, we have rules for this, which must comply with European definitions. Outside Europe, the rules are other, and our tax authorities are aware of this. So don't worry too much if an American invoice doesn't look quite right; the message is that our tax authorities aren't losing any sleep from it either ;) Feel free to set the vAT percentage to 100%, and you will see that the VAT impact is once again zero. If you set that vAT percentage to 0%, you will indeed still pay 21% via that vAT declaration. That is not necessary in this context; you would be penalised too harshly.
