Question

Dear Sir/Madam,

Should a payment with a gift card be entered in the cash book or the bank book (self-employed in secondary occupation; single-entry bookkeeping; VAT exemption)?

Situation: my mother-in-law gave me a Colruyt gift card for my birthday. The credit on this card was partly used to purchase raw materials for the business. The money did not come from the cash register or the bank account. Where/how do I record this in my financial diary?

I am currently considering treating the card as a ‘cash’ credit and recording a capital injection for the same amounts as the expenses in order to do the cash payment.

As a sole proprietor, I don't think you are required to keep a bank/cash book. It's best to open an account that is used solely for your business payments. In the event of an audit and suspicion of fraud, they can request the statements. In this case, I would mention in Dexxter under 'extra information' that you paid that invoice with that gift card and possibly attach a scan/photo of that card. This is allowed as a sole proprietor; you just have to be able to account for how you made the payment (of course, you are not allowed to launder money ;-)).Cash books and bank books are always required. I ultimately entered the gift card as a cash capital injection in my cash book and then processed the paid bills as expenses in my cash book. I entered the receipt of the gift card in my daily receipts with all the explanation in case I am audited later. The bills are included in my expenses, which means that the accounts/balance sheet are correct.

Because I make all payments by bank transfer, I only keep my bank statements. Less is more ;-)

I have a lot of cash receipts (door-to-door sales to private individuals, I bake biscuits and cakes to order and cash is very often paid on collection), so a cash book is unavoidable.
