How do you determine expenses for kilometres in the events sector? (no fixed commute)

Dear

I work as an event model at different locations throughout Belgium and abroad. I only really started as a self-employed student in mid-October. It’s about 3,500 km in one month. Now I would like to enter the professional mileage as an expense. (Exempted from VAT declaration).

From an accountant, I received advice to keep a mileage log of 0.15 EUR/km in my situation. Now I read online that the mileage log of 0.15 EUR/km is only possible if it concerns a fixed commute. This obviously does NOT apply to me, as I always work at other event locations.

In your opinion, can I still apply mileage allowance in my situation and sector?

I have now heard that as a "business manager" I can charge +- 0.42 EUR/km as expenses for mileage allowance. But when I enter my mileage allowance in Dexxter, these kilometres are not processed as 100% expenses, even though they are only professional journeys...

Dear, Does anyone here know more about this? We also have a mileage log for our home deliveries with a mileage allowance. But I don't know how to enter this in Dexxter because I don't have a fuel ticket. Just an Excel file with the amount of kilometres driven on delivery days x the statutory mileage allowance at that time. Thanks in advance for your help.

Hi JD, I solved this myself as follows:

  • I created myself as a supplier (Belgian private person).

  • I saved my mileage Excel file as a pDF and added it as supporting documentation.

  • I saved my mileage Excel file as a pDF and added it as supporting documentation.
