A membership that runs from, for example, February 2024 up to and including January 2025: how do I enter this? Should I enter everything in one go in February 2024, including the vAT refund? Or should I enter 11 months in 2024 and later enter 1 month in 2025 + the same for the vAT?

Splitting it up according to the financial year is indeed the most correct approach. For small expenses, I would dare to put it in one financial year. Otherwise, for insurance, these are larger amounts and it could be difficult to check. I believe you can already enter vAT in the year you pay the invoice.
