Hello,

I have had a (very) small side business since 2019 in my secondary occupation and started using Dexxter this year. In previous years, I worked with an accountant, but the costs were too high compared to my very limited turnover.
In previous years, I always submitted a substantial customer list in March at the request of my accountant, even though I have now discovered thanks to Dexxter that this is actually unnecessary (I am exempted from VAT and in any case do not have any customers to whom I invoice more than €250).
However, my accountant has now contacted me regarding my customer list, which is still to be submitted. When I told him that I now work with Dexxter and that a customer list is actually unnecessary in my case, he answered that this is correct, BUT that I absolutely must also urgently submit my turnover figures (together with an empty customer list). However, there is no mention of this anywhere in Dexxter… So I find it a bit strange? My accountant scared me a bit by insisting that heavy fines would be stated for here… But I thought that thanks to Dexxter, everything would be okay?

Can anyone help me? Thanks in advance for your help!

I don't have any experience with exemptions myself, but it seems logical to me that you have to report your turnover in order to be exempted from VAT.

What is a customer list?We have already discussed personal income tax and vAT declarations. These are two of the three tax returns that you are required to submit as a self-employed person subject to VAT. And in fact, you have to submit a personal income tax return anyway, even if you are not self-employed.

A customer list (also sometimes referred to as a vAT listing) is a yearly list that you are required to submit as a self-employed person subject to VAT.

Belgian entrepreneurs who are not liable for VAT (e.g. physiotherapists, doctors, etc.)

  • Why do you have to submit a customer list?

    All Belgian businesses subject to VAT (including those that have applied for a small business VAT exemption) must submit a customer list. This means that the VAT authorities have been received on a huge amount of data.Based on this yearly information, the vAT authorities can map out a huge network from businesses that invoice other businesses. This is an enormous source of information for them in the context of tax audits.

    When must you submit your customer list?

    You must submit your customer list every year before 31 March with the list of customers from the previous year. In March 2023, for example, you must submit the list for 2022.

    If you are a subject to VAT business, you must always submit a customer list. Even if your customer list is completely empty, you must still submit an empty customer list.If you are a VAT-exempt entrepreneur, you only need to submit a customer list as soon as at least one customer is listed on it. Unfortunately, many VAT-exempt entrepreneurs mistakenly assume that they never have to submit a customer list, which can result in hefty fines.Again, here, trust Dexxter! On the one hand, you will see the deadline stated on your personal tax timeline, and on the other hand, you can also expect an email from us to remind you of the deadline.Thank you for your reply, but I was already aware of the customer list requirement: I am exempted from VAT and did not invoice anyone for €250 or more in the previous year, so my customer list was empty (I submitted a nil return to be on the safe side, even though this is not required).

    What confused me was the claim that I now also have to report my turnover. I have already spoken to a number of people about this and have also received an answer from Dexxter itself: no one understands what my former accountant is talking about... So I've decided to let it go and trust that everything is okay!
    To be clear: my annual turnover is nowhere near 25,000, which would make me become subject to VAT (not even ten times that amount)...Thanks for your help anyway!

    I'm in pretty much the same situation. I started as a self-employed in secondary occupation in early May 2024 (sole proprietor) and am VAT exempt. Due to the start-up, I made a loss in the first year (high costs because I purchased equipment, a laptop, PC, etc. to be able to do the job + social security contributions + start-up costs + insurance + lots of software licences + website) and had little income (of which 1 subject to VAT customer > €250). So I had Dexxter create a VAT customer list and have already submitted it to the vAT authorities.Now I have received a letter from my business liability insurer stating that I must submit my turnover figures for 2024 (they need this to calculate the premium). Does this refer to the profit/loss figures or the total amount of all income (as stated on the vAT customer list)?
