untaxed mileage allowance

Question

Hi, I recently started working with a company as a freelance photographer. For many assignments, I have to drive a reasonable distance to get there, and I saw that from January ’23, the mileage allowance was legally equal to €0.4259/km. Anything above this amount will be taxed and anything below this amount will not be taxed. I have now agreed with the company that I can charge £0.4/km to avoid being taxed. (Reference Partena Professional – https://www.partena-professional.be/nl/knowledge-center/infoflashes/hogere-kilometervergoeding-vanaf-1-januari-2023#:~:text=The%20new%20amount%20applies,employer’s%20own%20costs. )

Does Dexxter take this into account here or not? Because these transport costs are listed as an “invoice” item and are considered by Dexxter as total income, and so my taxes are also calculated here? Will I have to put something separate on my return or how does this work?

Kind regards, Sebastien

That is not untaxed, you know. If you charge it as a self-employed person on your sales invoice, it simply counts as turnover. Whether you do this via Dexxter or any other programme does not matter. What is on your sales invoice is taxable income. You can reduce that taxable income to 0 euro profit by offsetting it with costs. And then you have to add a mileage allowance to your accounts on the cost side. That way, it becomes back tax-free, as in -> turnover on sales invoice - costs in your accounts = 0 euro profit.

How do you add such a mileage allowance to the expense side of your accounts? I am in a similar situation where I have charged my customer a mileage allowance of 0.428/km. I have not kept any fuel receipts. So I don't really have a 'purchase invoice' to substantiate this expense.
